Automated IMAP refresh (sales account, mail.privateemail.com) — reads Inbox + Sent directly, unattended, no desktop app or approval click. Marketing & automated mail is filtered below; real conversations are flagged, and the follow-up list shows emails sent with no reply after 3+ days. Looking back 30 days (358 inbox / 107 sent). Yesterday broke the silence — three replies went out (Chris Finch, Stephanie Lovell, Miruna Dudceac), which closed the Camellia chase and pulled Essent Re off the follow-up list. Stephanie at the Royal Gazette came straight back the same evening with her answers highlighted point-by-point, so the paid-media decision is now the freshest and most actionable thing on the board. One new order overnight — #1194, Nicholas Howard — and Onyx #1264030 was delivered Friday evening.

Real conversations where someone is waiting on you. Showing the 5 most actionable — 21 open threads in the 30-day window. Camellia came off the list overnight (Chris signed off warmly after Friday’s reply); the Royal Gazette takes its place at the top.

RE: Marketing on Royal Gazette Query
“Happy Friday Germiko! No worries. Please see my responses highlighted below…”
Freshest thing on the board and the only one that arrived overnight. You broke a week’s silence at 2:56 PM and she answered inside five hours with every question addressed inline — that is a warm counterparty. The Gazette campaign built on 28 Aug (free island-wide delivery) is ready to book; reply while the thread is still hot rather than letting another week open up.

RE: Shipping Refund
“Following up — refund cc… Breakdown is as follows: Shipment 1720549, package weight 25 lbs, billed weight 31 lbs…”
Money coming back to Harbour Roast and now three days cold. Ed has done the weight reconciliation himself and chased it within the same afternoon; all he needs is confirmation of where to credit it. Still the quickest win on this list — a two-line reply closes it and the credit lands in the Expense Log.

WOPC Prelims: Germiko Hill
“Preliminary Rounds: Wave of Opportunity Pitch 2026 — please select a time slot that works for you. Location: Global Atlantic…”
Fifth day unbooked and the only item here with a deadline set by someone else. BEDC has now emailed three separate times about scheduling Germiko’s slot. Finite slots, first-come — book it this weekend before the good times go.

Re: Order #1191 confirmed
“Bank transfer sent from HSBC Bermuda. It is after the cut off time I think so it may not appear until tomorrow. Transfer transaction attached…”
Four days since the transfer slip arrived and the thread is still silent. The HSBC credit will long since have cleared into Butterfield — check it against the Bank Rec tab, mark #1191 paid in Shopify and confirm back. A paying customer sitting in silence remains the worst item on this board.

RE: xBloom Studio
“Thanks, can you drop it to the main reception desk please — that is in the smaller building at the end of the complex closest…”
The oldest unanswered thread involving a real customer and a physical item. He gave delivery instructions on 11 August and heard nothing since. Either the xBloom was dropped and never confirmed, or it wasn’t — both need a message today, and RenRe is exactly the kind of corporate account worth protecting.

Also open: Hermanos Wholesale on the Bermuda order, 4 days · Rogue Wave Coffee with a costed FedEx quote and wholesale terms, 11 days · Johnny at Hanmo Packaging with the bag quote, 12 days · Cécile Thiery (DAK) on DAKSHP registration, 15 days · Big Sur Roastery on the partnership thread · Eric Mahovlich (Pilot) with free-shipping & suggested-retail terms · Allen Wu and Angelica Ortula (Hario) on portal access · Will Young’s point-by-point reply on “Thoughts going forward”, 18 days · Charl Orton, Anthony Lespere, Rob Turbervill and Francois Malherbe on reorder details · and the Danger Coffee / Asprey portal credentials, live and still unused.

⏳ Waiting on a reply

You sent these and haven’t heard back in 3+ days — outreach, wholesale & hospitality first. Showing the top 6 — 38 total, but 18 of those are the 11–12 Aug customer check-in batch rather than real open business, leaving 20 live threads.

Re: Harbour Roast Wholesale pricing
The most advanced corporate account in the book. Warren Cook confirmed the billing entity and address on 25 Aug and Josephine only asked whether invoices travel with the delivery or come by email — a procedural question you answered the same afternoon. The ball is arguably back with you: raise the invoice from the Wholesale hub rather than waiting on her.

Re: Two orders for consolidation in Florida
Freight in motion with no confirmation back. The Onyx and Black & White boxes are consolidating at J-Transport in Medley and this is the thread that tells you when they fly. Four days quiet on live inventory — worth a phone call, especially with no cargo insurance on the BermudAir route.

Maxwell Mooney (Onyx)Fri 8/21 · 8 days
Re: Shipping address detail update
Onyx is the anchor roaster and this thread carries the standing ship-to change over to J-Transport. Order #1264030 landed Friday, so it clearly worked once — but get written confirmation that the address is saved on the account before the next drop, or it silently reverts.

Re: Retailer Inquiry — Harbour Roast
The Breville retail route for Bermuda — espresso machines alongside Fellow and xBloom, and the natural upsell behind the Essent Re machine sale. He wrote warmly and was impressed; two weeks of silence is on your side of the ledger now. One polite bump is overdue.

Re: Application for Harbour Roast
Marketplace follow-up on coffee categories and collection timing. The seller profile is approved and an order has already come through Cove, so this single unanswered question is the only thing standing between a token listing and a proper Cove catalogue.

Re: Wholesale pricing list
The largest hospitality lead in the pipeline and the biggest volume upside — now three weeks quiet and the oldest live item on the board. She had been talking it through with Ram internally. Overdue a second approach, ideally to a named F&B contact rather than the same shared inbox.

Also waiting: J. Lawrence (site contact form) 15 days · Calvin Thomas (order follow-up) 8 days · Gareth Maddock (portafilter basket sizing) 17 days · Sea Venture (invoice / collection) 18 days · Cassius Fevriere (BermudAir) 19 days · Jessica Forbess (St George’s boat order) 21 days · Daniel Falloon (Botz) 24 days · Sey Wholesale 26 days · Will Warren (Mirra) 26 days · Asprey Group / Danger Coffee (signed agreement returned) · plus the 18 order-experience check-ins sent 11–12 Aug. Essent Re dropped off this list — you checked in with Miruna Dudceac on Friday afternoon.

📋 FYI — orders, payments & site activity (~135 items, 30 days)
Shopify order confirmations & customer notifications — one new order overnight, #1194 (Nicholas Howard) on Friday evening, following #1193 Shereen Hassan on Tuesday and the #1190–#1192 run before that · Authorize.Net merchant receipts and card-settlement reports · Shopify Pulse insights and the weekly order summary · a Second Spin Roasting customer-account confirmation this morning
Inbound stock — Onyx order #1264030 was delivered Friday evening after going out for delivery that morning, closing the loop on Black & White #608240 delivered Wednesday · MyUS received the ship request for BM4474 and approved the receipt for package 03-934-4881 on Thursday, so that freight is moving again · the Hermanos parcel landed with Xero invoice INV-23837 still the open item behind it · Danger Coffee / Asprey wholesale portal live with credentials issued · Wholesail / DocuSign onboarding (Hario)
Harbour Roast Reservations (web3forms) — five reservation emails in the window, three of them clustered on 26 Aug; this morning’s D1 ingest ran and left every existing entry and its “followed up” tick untouched (see Reservations tab) · Formspree roaster-map suggestion · one Shopify “new customer message” from J. Lawrence
Freight & shipment tracking (Mailboxes, DHL / MyUS / BermudAir) · Shopify billing & subscription credits · Cove.bm seller notifications · BEDC pitch-competition scheduling mail · Sea Venture and Essent Re account correspondence · Judge.me review requests
🔇 Filtered out — marketing & newsletters (~165 items, 30 days)
Roaster newsletters & menu drops — the heaviest single category in the mailbox: Onyx (18 sends in 30 days), Intelligentsia (12), Camellia (8), Sey’s weekly menu (8), Passenger (7) and Danger Coffee (6), plus Prodigal, Sightglass, Portrait, Hyunah, Black & White, DAK, Mirra, Tim Wendelboe, Brandywine, Botz, Pilot and Big Sur · equipment marketing (Baratza, Hario, xBloom, 1Zpresso, Third Wave Water, Fellow’s sale mail) · Faire promos, Buffer’s daily recap, RoasterTools / Roasters.app & Shopify marketing
Login / verification codes, password resets & account confirmations (Danger Coffee, Kraken, Skio, DocuSign, Namecheap, Private Email) · auto-replies & out-of-office (Asprey Group, Collene Rahman at Sun Life, Eric Mahovlich at Pilot) · domain-renewal notices · Apple / iCloud account mail
Cold outreach & spam — Mark Pearson’s marketing agency now on its fifth follow-up (26 Aug), the “Bryan Taylor” New York delivery question that flipped to an affiliate pitch on reply, a repeat revenue-share approach offering a cut of “$10,000 in additional revenue”, an “INVESTORS” project-finance pitch, TruLife Distribution’s retail-buyer event, a “Chris Smith” e-commerce blast, an Instagram-follower seller, an iOS-app-build pitch and a WhatsApp order-driving offer. One item in Junk, nothing in Drafts.

DONEWrite SEO title & meta description for blog articles that had none — 11 of 16 published posts were relying on Shopify’s title/excerpt fallback — auto-fixed 24 Aug
DONECorrect stale roaster count in /pages/subscriptions meta description — said “sixteen rotating roasters”, now twenty — fixed 24 Aug
11 - MEDImprove page load speed — largest remaining on-site lever
22 - MEDDecide redirect policy for retired-to-draft coffees that 404 — now confirmed live: /products/colombia-juan-jimenez-pink-bourbon-by-onyx-coffee-lab (Google crawled 22 Aug) and /products/triple-double-by-portrait-coffee (21 Aug) both return a hard 404 — sold-through lots moved to DRAFT, not archived. 17 such products in total. A redirect would shadow the product if it is ever re-activated, so this needs Andrew’s call. Redirects cannot be created via the API — add manually under Content → URL redirects
33 - LOWKeep the “Add a Tip” helper product out of search — the $1 cart-tip product is Active and published to the Online Store, so /products/add-a-tip is a thin indexable page with no SEO metadata. Needs a theme-level noindex or removal from the Online Store channel — not a metadata fix, so left for Andrew
44 - LOWDelete the leftover “coffee-and-tea-example-products” demo collection — 6 Shopify sample products still sitting in a collection with no SEO metadata — safe to remove, but deleting products/collections is outside this task’s remit
55 - LOWAdd alt text to theme hero / banner images — all product & subscription images done; only theme-level banners remain
66 - LOWCreate location-specific landing pages
77 - LOWRe-run GSC ‘Not found (404)’ validation — 40 URLs; the 27 Jul attempt is still marked Failed. Best run after item 2 is decided, otherwise it will fail again
88 - LOWReview /collections/current-selection vs /collections/coffee overlap — both auto-populate from product type Coffee (69 products each as of 24 Aug), so they compete for the same queries; consider canonical or noindex on one

What is SDE, and how this is calculated

SDE (seller's discretionary earnings) is the total yearly benefit one owner-operator gets from the business: net profit plus the owner's own pay/draw, plus one-off and personal costs run through the books, plus non-cash items like depreciation. It's the standard earnings base buyers use to value owner-run businesses under about $5M.

Harbour Roast's SDE is negative right now (cumulative loss), so an earnings multiple values it near $0 today. The number on this card is the forward case — what it's worth once SDE turns positive.
