Automated IMAP refresh (sales account, mail.privateemail.com) — reads Inbox + Sent directly, unattended, with no desktop app and no approval click. Marketing & automated mail is filtered below; real conversations are flagged, and the follow-up list shows mail sent with no reply after 3+ days. Looking back 30 days (444 inbox / 133 sent). The mailbox moved yesterday for the first time in days — nine sends went out, and two threads closed cleanly: Thomas Gleeson’s Onyx Monarch enquiry was answered at lunchtime, and Tony Ho’s equipment thread ran to a finish (red Breville confirmed at $1,700, Opus 2 priced) with Tony saying he’ll think it over. DAK has escalated rather than resolved: after asking you to check Blueberry availability at 07:52 this morning, support wrote again at 08:41 to say they are cancelling order DAK2026011994 outright and want it re-placed — a Mollie credit note against invoice I-DAKWH-2026-07540 has already been issued. With no coffee in stock on the site, re-placing that order is the single highest-value thing on the board today. A new corporate lead opened: Ashleigh Medeiros at Pacific Life Re wants to set up an office tasting in the week of 19 October — she asked for a resend, got it, and is now picking a time. Five orders landed since yesterday’s snapshot (#1212 Eileen Mullowney through #1216), and a roaster-map suggestion came in for Brio Coffee with a “partner with them” flag. The stale end is unchanged and another day older: Andrew Fleming’s bank-transfer proof is now 15 days old, Ed DeSilva’s overbilling refund 14, and the BEDC pitch prelim slot is still unbooked at 15.

Real conversations where someone is waiting on you. Two cleared yesterday (Thomas Gleeson, Tony Ho); DAK escalated overnight and one new corporate lead opened. The three long-stale items are unchanged.

Re: Pending Order DAK2026011994
“To move forward, we will go ahead and cancel order DAK2026011994. Please place the order again so the items in your cart…”
Amsterdam has stopped waiting and is cancelling. The credit note against invoice I-DAKWH-2026-07540 has already gone out through Mollie, so the order is gone unless you rebuild the cart — check the Blueberry availability link they sent at 07:52 first, since that was the item they flagged. With the site out of coffee this is the fastest route back to inventory, and it is now a re-order rather than a one-line yes.

Week of October 19th
“It was great meeting you! I’d love to set up a coffee tasting so everyone can try the different coffee options… I didn’t actually get it, can you resend please? Ok I will work out a time and get back to you asap.”
A warm corporate lead asking for an on-site tasting six weeks out — the strongest new B2B thread on the board. You resent the pricing and she acknowledged it, so the ball is nominally hers, but she is choosing a date and these go quiet fast. Offer two or three specific slots in the week of 19 Oct rather than waiting.

Re: Order #1191 confirmed
“Bank transfer sent from HSBC Bermuda. It is after the cut off time I think so it may not appear until tomorrow. Transfer transaction attached.”
A paying customer sent proof of payment and has heard nothing for over two weeks. The money should long since have shown on the Butterfield statement — confirm receipt, mark #1191 paid and get it out. This is the oldest customer-facing item on the board and the one most likely to cost a repeat order.

WOPC Prelims: Germiko Hill
“Preliminary Rounds: Wave of Opportunity Pitch 2026 — please select a time slot that works for you. Plan to arrive at least 10 mins before your time slot start.”
The pitch deck went over on 31 Aug and Kelsea confirmed receipt, but the prelim slot itself still has not been booked in the two weeks since the invite. Slots run out and this is the only step standing between Harbour Roast and the competition. Pick a time today.

RE: Shipping Refund
Direct reply from Ed at Mailboxes on the overbilled freight — the one human thread in that mailbox, not a Mailboxes marketing send.
Money owed back to Harbour Roast, sitting untouched for two weeks while the account has since moved most volume to BermudAir/J-Transport. Close the refund out before the relationship goes cold and the credit becomes awkward to chase.

Shopify & payments — 80 order notifications in the window, five of them since yesterday’s snapshot: #1212 Eileen Mullowney, #1213 Jay Riihiluoma, #1214 Nicholas Howard, #1215 Rob Turbervill and #1216 · 44 Authorize.Net merchant receipts and nightly settlement reports track alongside them · Shopify’s weekly digest reported 13 orders last week, up from 9 the week before · two website contact-form messages on Monday, both from Tony Ho about Fellow, Cafelat Robot and the Opus 2 — answered · Shopify is still nudging that the B2B setup is unfinished
Roaster & supplier admin — DAK’s Mollie credit note against invoice I-DAKWH-2026-07540 arrived at 08:39 this morning, immediately before support confirmed the cancellation · Hario order WS-1788 shipped 3 Sep and the Wholesail invoice #34464 is paid (payment #22JPL) · La Cabra order #4318 confirmed · Rogue Wave and Second Spin account confirmations
Inbound stock & freight — a DHL AWB 3307515842 documentation request landed overnight · MyUS shipment BM4474 dispatched 31 Aug · the Mailboxes shipment was delivered 3 Sep · the Hario UPS parcel (1Z271E4F0353747602) is due tomorrow, 10 Sep · DHL Express duty/tax payment receipt logged 8 Sep
Website forms — 7 Harbour Roast Reservations submissions in the window; this morning’s D1 ingest ran and again found nothing new to append, leaving all 24 existing entries and their 22 “followed up” ticks untouched (see Reservations tab) · a new roaster-map suggestion came in Monday afternoon for Brio Coffee, flagged both “add it to the map” and “partner with them — stock at Harbour Roast”, which makes it a pipeline lead as well as a map entry
Payments & admin — a Kraken deposit landed this morning and Friday’s USDC withdrawal is still worth reconciling against the USDC ledger · Cove.bm seller notifications · Sargasso reporting · Buffer daily recaps and the weekly report covering 15 posts
🔇 Filtered out — marketing & newsletters (~144 items, 30 days)
Roaster newsletters & menu drops — still the heaviest category: Onyx (18 sends in 30 days), Intelligentsia (14, now past the Labor Day 20%-off run), Passenger (10, incl. the Thamani and Cusco partnership pieces), Portrait (8), Camellia (7), Danger Coffee (7), Hyunah (7), Sey’s weekly menu (4), Prodigal (4), plus Black & White’s birthday mailer, DAK, Brandywine, Sightglass, Hermanos and Big Sur · equipment marketing from Baratza, 1Zpresso, Breville and Fellow · Faire promos and two more Faire support-agent nudges · Buffer’s daily recaps, Roasters.app, Roaster Tools and Shopify marketing · Standart magazine, including the Issue 44 launch-party invite
Login / verification codes, password resets & account confirmations (Kraken — 10 in the window, Wholesail’s temporary passcode, Private Email renewal notices from Zoho, a fresh Shopify sign-in alert and verification code on Monday) · 14 Apple TestFlight invitations to test look-alike “AdsGPT” builds from “… Platform OpCo, LLC” senders, two more since Friday — a coordinated campaign; ignore and do not install · auto-replies & out-of-office (Asprey Group, Sun Life)
Cold outreach & spam — a new Spanish-language conversion-rate pitch from “Fotunate expert” (megalightconsult21@gmail.com) arrived Monday evening · TruLife Distribution’s US retail-buyer pitch · Mark Pearson’s repeated chases for a “quick chat”, the “Hennry Alex” and “Abdulqoyyum” approaches that flip to an affiliate pitch on reply, a store-build pitch from “JDH”, a web-redesign pitch from “Chris Smith”, an “INVESTORS” project-finance approach, and packaging spam from Hanmo. Phishing flagged and not clicked: the 3 Sep “Account Service Shopify” email from facturaciondtelv@lvelmirador.com asking you to verify your registered email address, and the earlier “MetaAdsSupport — Action Required: Policy Violation Notice” sent from a school domain. Neither is genuine — do not click either. Two items in Junk, nothing in Drafts.

DONEAdd URL redirects for 4 ARCHIVED coffees now serving hard 404s — re-verified 6 Sep: all 4 (bayron-arcila-double-ferment-by-portrait-coffee, esayas-beriso-buku-sayisa-by-sey-coffee, felix-morocho-2nd-harvest-by-sey-coffee, the-new-school-strawberry) already had working 301 redirects to /collections/coffee. This item was stale on the dashboard, not an actual site problem — last week’s note was wrong
DONEFill missing SEO title & meta description on 25 products with metadata gaps — 4 La Cabra + 13 DAK Coffee Roasters coffees went Active 6 Sep with title and description both empty, plus 8 Onyx/Black & White coffees found with description-only gaps (title was already set); written from each product’s own origin and tasting notes and auto-fixed 6 Sep
DONEAdd a redirect for /pages/subscriptions-preview — caught in GSC’s ‘Not found (404)’ report, crawled as recently as 9/4 with no live page and no redirect; now points to /pages/subscriptions
DONEFill missing SEO title on 8 active coffees that had a meta description but no title — Onyx Geometry Blend, Eclipse Dark Roast, Ethiopia Gotiti G1, The Classic, The Traditional, Hambela EA Decaf, Mustefa Abakeno and Familia Bermudez. The 6 Sep run logged these as “description-only gaps, title already set” — it was the other way round. Titles written from each coffee’s own roaster, origin and character and auto-fixed 7 Sep; all 74 active products now complete on SEO title, description and image alt text
DONEDecide redirect policy for retired-to-draft coffees that 404 — closed 7 Sep — no decision needed. Every one of the 63 draft/archived product handles was curl’d live this run: 60 return 301 to /collections/coffee (including founders-by-portrait-coffee and colombia-juan-jimenez-pink-bourbon-by-onyx-coffee-lab, the two named on 31 Aug) and only the 3 Third Wave Water pre-order handles still 404, which is by design so the pages aren’t hijacked when they go live
DONESet SEO title & meta description at product-creation time — fixed at source 7 Sep. New shared module Scripts/seo_helper.py; all 13 product-creating scripts that previously skipped SEO now call it (the other 2 already set both fields). Its set_seo() refuses to write unless BOTH title and description are non-empty, which also closes the half-write bug that produced description-only products. Verified live round-trip against the store and python seo_helper.py --check reports 0 gaps. The next real batch is the proof
11 - MEDImprove page load speed — largest remaining on-site lever
22 - LOWKeep the “Add a Tip” helper product out of search — the $1 cart-tip product is Active and published to the Online Store, so /products/add-a-tip is a thin indexable page. Title and description filled in 31 Aug as a stopgap, but the real fix is a theme-level noindex or removal from the Online Store channel — left for Andrew
33 - LOWTidy the “coffee-and-tea-example-products” collection — an internal staging collection titled “Coming Soon” holding draft/archived coffees, but it is published, sitting in sitemap_collections_1.xml and renders as an empty page on a junk handle. Its <title> also collides with the live /pages/coming-soon. Either unpublish it or give it a real handle
44 - LOWAdd SEO metadata to /collections/frontpage or drop it from the sitemap — Shopify’s default “Home page” collection is in the sitemap with 54 products, no SEO title or description, and a <title> of just “Home page – Harbour Roast”. Duplicates /collections/coffee
55 - LOWAdd alt text to theme hero / banner images — all product & subscription images done; only theme-level banners remain
66 - LOWCreate location-specific landing pages
77 - LOWRe-run GSC ‘Not found (404)’ validation — 42 URLs; the 27 Jul attempt is still marked Failed as of 8/5. Ten example URLs were sampled live on 7 Sep — every one now returns 200 or 301, so this is stale crawl data and should pass. Separately, GSC opened a new “Page with redirect” category on 6 Sep (44 pages) and emailed about it: that is the expected result of the redirect programme, not a fault, and needs no action
88 - LOWPublish the Wholesale / B2B pages — /pages/wholesale and /pages/wholesale-portal are both still DRAFT, unchanged since July; targets two Secondary keywords (wholesale coffee Bermuda, hotel coffee supplier Bermuda) with no live page yet
99 - LOWReview /collections/current-selection vs /collections/coffee overlap — both auto-populate from product type Coffee, competing for the same queries; consider canonical or noindex on one

What is SDE, and how this is calculated

SDE (seller's discretionary earnings) is the total yearly benefit one owner-operator gets from the business: net profit plus the owner's own pay/draw, plus one-off and personal costs run through the books, plus non-cash items like depreciation. It's the standard earnings base buyers use to value owner-run businesses under about $5M.

Harbour Roast's SDE is negative right now (cumulative loss), so an earnings multiple values it near $0 today. The number on this card is the forward case — what it's worth once SDE turns positive.
